Privacy policy

Rilt AI CRM (“Rilt”, “we”) is a customer relationship management service at crm.rilt.ai. This page explains what we collect, why, and the choices you have. Questions: socialcangaroo@gmail.com.

What we collect

• Account details: your name, email address and an encrypted password, or your Google account identity if you sign in with Google.
• The business records you and your team enter: leads, contacts, companies, deals, quotations, invoices, tasks, tickets and files.
• Basic technical records: sign-in sessions, device type and IP address for security, and an audit log of changes.

Connected apps (Google, Microsoft and email accounts)

If you choose to connect Gmail, Google Drive, Google Sheets, Outlook, OneDrive or another email account, you sign in on that provider’s own page and approve specific permissions. We never see your Google or Microsoft password. For a mailbox that uses a password, the password is stored encrypted and used only to read and send mail for you.

• Gmail and Outlook: we read emails only when you open a contact or lead, to show your correspondence with that person. Nothing is copied unless you choose “Save to timeline”. If you allow it, we send email from your own address when you send a message, quotation or invoice.
• Google Drive and OneDrive: we list your files so you can pick one. A file you attach to a record stays in your drive and we keep only its name and link. If you allow it, we add files you choose to save.
• Google Sheets: we read the spreadsheet you pick to import leads or contacts you confirm, and add rows to it when you ask us to.

Sign-in tokens are encrypted at rest and are never sent to your browser. Disconnecting an app in Settings, Connections deletes the stored sign-in immediately and asks the provider to cancel it. You can also remove access from your Google or Microsoft account settings at any time.

Google user data

Rilt’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We use Google user data only to provide the features you can see in the CRM described above. We do not sell it, use it for advertising, or use it to train AI models, and no person at Rilt reads your Google data except where you ask us for support and give permission, or where the law requires.

AI features

If your workspace uses the AI features, the text of the records you ask the assistant to work on is sent to our AI provider to produce the answer. It is not used to train models.

Who we share data with

Only the service providers that run the product (hosting, database, email delivery and AI), under terms that limit them to providing that service. We do not sell personal data.

Keeping and deleting data

We keep your data while your account is active. Workspace owners and administrators can delete records, and you can ask us to delete your account and data by writing to socialcangaroo@gmail.com. Backups are removed on their normal schedule.

Security

Data is encrypted in transit. Connection tokens and mailbox passwords are encrypted at rest. Access follows roles, so people only see what their role allows.

Changes

If we change this policy we will update the date above and, for material changes, tell workspace owners.
